- CV, cover letter, photo (optional)
- Languages, experience, and current occupation
- Personal identity number/co-ordination number (upon employment)
- Bank details (upon employment)
- Extract from the criminal records register
- Working hours, salary, and employment agreements
- Video presentation (optional): If you choose to record a video presentation, it will be stored in our database and used only for recruitment and matching purposes. The video will only be shared with families you have approved. It will be stored as long as the matching process is ongoing and for a maximum of 24 months thereafter, or longer if you consent.
Clients (families)- Name, address, phone number, and email address
- Information about the family’s needs (children’s ages, schedule, language, etc.)
- Billing and payment details
- Personal identity number (for RUT tax deduction administration)
3. Why we process the data (purpose and legal basis)- Recruitment and matching – to handle applications and match the right babysitter with families.
- Employment – to pay salaries, report to authorities, and manage employment (agreement, legal obligation).
- Invoicing and accounting – to fulfill bookkeeping requirements (legal obligation).
- Administration of RUT deductions – to apply for RUT deductions for childcare services on behalf of clients (agreement, legal obligation).
- Communication and follow-up – to maintain regular contact, follow up on our services, and provide information during and after your engagement with us (legitimate interest).
- News and offers – we sometimes send information and offers from Barnakademin. You can opt out at any time.
- Sharing of data for matching – certain information about the babysitter (e.g. photo, name, age, area, languages, experience, and any video presentation) may be shared with families, but only after the babysitter has approved to proceed in the process. Likewise, certain information about the family (e.g. name, residential area, and childcare needs) may be shared with the babysitter.
- When both parties have approved to meet, contact details (name and phone number and/or email address) are shared so that the family and the babysitter can contact each other before the first meeting.
4. How long we store the dataApplications (not employed): stored as long as the matching process is ongoing. When the process is completed, or if you are no longer active, the data is stored for a maximum of 24 months thereafter. With your consent, we may store it for up to 36 months for future matches.
- Employees: employment data (salary, working hours, agreements) is stored for 7 years in accordance with the Accounting Act.
- Clients: contract, billing, and payment data is stored for 7 years in accordance with the Accounting Act.
- RUT deduction data: stored for 7 years in accordance with the Accounting Act and as long as the Swedish Tax Agency can review the decision.
- Criminal records extract: stored for the duration of employment and for a maximum of 2 years thereafter, then deleted.
5. Who can access the dataOnly Barnakademin staff involved in recruitment, administration, and client services.
When necessary, data may also be shared with:
- Families (only if the babysitter has agreed to proceed)
- Authorities (e.g. the Swedish Tax Agency)
- Our IT and system providers (data processors), who process data only in accordance with our instructions.
6. Your rightsYou have the right to:
- Receive information about what data we process about you
- Request correction of incorrect data
- Request deletion of data no longer needed
- Request restriction of processing
- Object to certain processing (e.g. marketing)
- Receive your data in a structured format (data portability)
- Once per year, free of charge, request a copy of your personal data
